Terms & Conditions

These Terms and Conditions govern your use of our travel services provided by Flying Squirrel Holidays LLC (referred as Flying Squirrel Holidays), registered in the United Arab Emirates. By booking or using our services, you agree to be bound by these Terms. A Client refers to all individuals listed on the booking form intending to travel with Flying Squirrel Holidays. A Product refers to any service sold by the company. By proceeding with a booking, all Clients are deemed to have read, understood, and accepted the company’s booking conditions. A booking is only confirmed once full payment is received and a written confirmation is issued by Flying Squirrel Holidays. The individual signing the booking form confirms they have the authority to do so on behalf of all listed persons and that all such persons are aware of and accept these terms and conditions.

Flying Squirrel Holidays plans and organizes holidays for clients. The Organization does not own or control any aircraft, ship, hotels or coaches or any other means of transportation or any other facility or services. The Organization takes care in selecting all the principles however they have no controls on running them. The Organization, as such, cannot be held responsible for any lack of services / quality of services of any independent agency, airlines, transport hotel or any other service provider.

In the event of booking of any third party tours or travel products or services like cruise, flights, coaches, hotels, sightseeing etc, the Terms and Conditions specified by such Tour Operator, including their payment schedule, cancellation, refund etc. shall be applicable in addition to the Organization’s Terms and Conditions. Consequently, if any delay, injury, death, loss or damage is caused on the above account, does not render the Organization liable to the Clients who have chosen us as organizers.

Flying Squirrel Holidays reserves the absolute right to amend, alter, vary or change any tour, holiday excursion or facility it has advertised in media, website or in the planned itinerary and substitute by service of similar class or types, if it is deemed advisable or necessary.

Name Change Amendment:

At the time of booking, it is imperative that you provide your full name exactly as it appears on your passport. Flying Squirrel Holidays cannot be held liable for any costs incurred due to the submission of incorrect name details. To ensure accuracy and avoid such issues, it is strongly recommended that a copy of your passport be submitted along with your preferred travel dates. In such cases, the Organization shall not be liable for any refund / compensation whatsoever.

Payment & Pricing Policies:

Your reservation request will be confirmed only upon receipt of full payment, which is required at the time of booking. While every effort will be made to confirm your requested arrangements, please note that travel services are not considered confirmed until you receive written confirmation from Flying Squirrel Holidays. We reserve the right to make changes, if necessary, prior to confirmation. Flying Squirrel Holidays also reserves the right to adjust the price of any product prior to confirmation due to factors beyond our control. These may include, but are not limited to, changes in government regulations, increases in transportation costs, changes in taxes, fees, or service charges, increases in admission fees, or hotel rate adjustments and availability. All advertised prices are subject to seasonal variations, currency exchange rate fluctuations, and may vary slightly.

Tourism Dirhams:

For hotel accommodations in Dubai, please be advised that in accordance with Dubai Government Council Resolution No. 2 of 2014, all hotels and resorts in Dubai are required to implement the “Tourism Dirham” fee, effective March 31, 2014.

This fee will be applied and collected directly from the Clients by the hotel at the time of check-out.

Cancellation Request Procedure:

To initiate a cancellation, the primary passenger must notify Flying Squirrel Holidays in writing by sending an email to connect@flyingsquirrelholidays.com. Please ensure that your email includes your booking number and contact details for identification and processing purposes.

Cancellation Charges and Calculation:

Upon receipt of your cancellation request, Flying Squirrel Holidays will calculate the refundable amount, if any, after deducting applicable cancellation charges and any other relevant fees or deductions, in accordance with our terms and conditions.

Balance Amount and Notification:

Following the deduction of cancellation charges and applicable fees, the remaining balance will be issued in the form of a Credit Voucher. This voucher can be used toward future bookings with Flying Squirrel Holidays. You will receive an email confirmation once the Credit Voucher has been issued.
Please note: Flying Squirrel Holidays does not issue cash refunds under any circumstances.

Credit Voucher Terms and Usage:

  • The Credit Voucher may be applied to any future booking with Flying Squirrel Holidays.
  • It must be redeemed in full and cannot be split across multiple transactions.
  • To redeem your voucher, please contact our team, who will assist you in planning and confirming your next holiday.

Confirmed bookings:

Confirmed bookings refer to instances where travel documents have been sent to the customer, or the customer has requested Flying Squirrel Holidays to issue travel documents for specific travel dates.

The cancellation charges for confirmed bookings are calculated based on the table below, unless otherwise mentioned in the booking form.

The minimum cancellation fee for all packages is AED 500 per person (not applicable for infants).

Refund Policy

We offer fair and transparent refund terms in accordance with UAE consumer protection laws. While certain services may have specific conditions, we are committed to ensuring that our refund practices are reasonable and compliant with applicable legal requirements.

Inclusions and Exclusions:

The price of any holiday package booked includes only the items explicitly specified in the booking confirmation or itinerary. Unless otherwise stated, the following items are not included and are the sole responsibility of the client:

  • Personal expenses (e.g., telephone calls, laundry, gifts)
  • Meals and beverages not specified in the package
  • Travel insurance
  • Transport to and from the departure airport (unless specified)
  • Optional excursions and activities
  • Passport and visa fees
  • Any applicable taxes not expressly included in the package

Please note that hotel check-in and check-out times are fixed by the respective properties. Early check-in or late check-out cannot be guaranteed and is subject to availability and additional charges, which must be settled directly by the client.

Travel Insurance:

  • We highly recommend all travellers obtain comprehensive travel insurance covering trip cancellation, health, theft, and personal liability.
  • The traveller is responsible for purchasing and understanding their insurance policy.

Liability:

  • We act as an intermediary between you and service providers (airlines, hotels, tour operators, etc.).
  • We are not liable for any delays, cancellations, or changes made by third-party providers.
  • We are not liable for any loss, damage, injury, or expense incurred due to accidents, natural disasters, political unrest, or unforeseen events.

Health and Safety:

  • Travellers are responsible for ensuring they meet all health, vaccination, and safety requirements.
  • It is your responsibility to check travel advisories and comply with health protocols.

Travel Documentation Responsibility:

Clients are solely responsible for obtaining and carrying all required travel documents, including a valid passport, visas, permits, vaccinations, preventative medications, and medical certificates, as applicable. Flying Squirrel Holidays is not liable for any loss or inconvenience resulting from changes in entry requirements, laws, or regulations. While information may be provided in good faith, it is offered without guarantee or liability. Please review your travel documents carefully upon receipt. If you find any errors, contact Flying Squirrel Holidays immediately.

All passengers must ensure they have the correct and complete documentation before departure. Failure to comply may result in denied travel, for which Flying Squirrel Holidays bears no responsibility.

Passport and Visas:

It is the sole responsibility of the client to ensure they possess all necessary, valid, and up-to-date travel documents, including passports and any required re-entry permits. Flying Squirrel Holidays shall not be held liable for any consequences arising from the client’s failure to comply with these requirements.

In accordance with international travel standards, travellers are typically required to have:

  • A passport with a minimum of 6 months validity from the date of travel
  • A valid UAE residence visa, if applicable, with at least 6 months validity during the travel period

Clients are fully responsible for ensuring that all travel documents are accurate, complete, and valid for the entirety of their journey. It is strongly advised to review the specific entry, visa, and health requirements for your destination prior to travel.

Code of Conduct:

  • Travelers are expected to behave respectfully and follow local laws and customs.
  • We reserve the right to remove any traveller from a tour for inappropriate behaviour, with no refund provided.

Privacy Policy:

We collect and process personal information in accordance with our Privacy Policy. Your data is used solely for the purpose of delivering our services and complying with legal requirements.

Force Majeure:

We shall not be held liable for any failure or delay in the performance of our obligations due to events beyond our reasonable control, including but not limited to acts of God, natural disasters, pandemics, epidemics, war, terrorism, civil unrest, government actions or restrictions, strikes, labour disputes, power outages, or failure of suppliers or subcontractors (“Force Majeure Event”).

In the event of a Force Majeure, we will make reasonable efforts to notify affected parties as soon as possible and to mitigate the impact of the delay or failure. Performance of the affected obligations will be suspended for the duration of the Force Majeure Event, and we shall not be liable for any loss, damage, or expense incurred as a result.

Governing Law:

These Terms shall be governed by and construed in accordance with the laws of the United Arab Emirates. Any disputes shall be subject to the exclusive jurisdiction of the courts of the UAE.

***We reserve the right to update or modify these Terms at any time. Continued use of our services indicates acceptance of the latest Terms.

Dispute Resolution

In the event of any dispute, claim, or disagreement arising out of or in connection with this agreement, the parties shall first seek to resolve the matter amicably through good-faith negotiations.

If the dispute cannot be resolved through direct negotiations within 30 days, the parties agree to submit the matter to mediation before pursuing any legal action. Mediation will be conducted by a mutually agreed-upon, independent mediator. The mediation shall take place in  the UAE, unless otherwise agreed by the parties.

If mediation fails to resolve the dispute within a reasonable timeframe, either party may proceed to seek resolution through the courts of Jurisdiction, which shall have exclusive jurisdiction.

Nothing in this clause shall prevent either party from seeking urgent injunctive or equitable relief from a court of competent jurisdiction.
